Deployment of Electronic Document Management

In order to optimize the processing of incoming mail flows, the AG2R La Mondiale group wanted to extend the use of EDM (electronic document management) to all mail within the pension-supplementary insurance perimeter.

The challenges were as follows:

  • Implement a mail processing process for the various business batches that met the needs of the management departments.
  • Implement a new organization to better process and manage the new activities
  • Support logistics staff in the transition to new activities, with new operating methods.

Our support

Aneo contributed to the project's scoping, change management and project management.

In order to gather requirements and define a target process for each business unit, the different types of mail were inventoried and a comparative process analysis was carried out.

Several scenarios for implementation in the KOFAX video coding tool were drawn up, and then arbitrated.

In collaboration with the logistics department, the target organization best suited to handling the flows was defined (size, location of teams, processes, service agreements).

A change management support plan was deployed to help logistics team members make the transition from a sometimes 100% manual activity to fully computerized processing.

Finally, Aneo coordinated the deployment of the solution with all the departments involved.

Aneo's added value was to offer an iterative, customer-oriented approach, rooted in the firm's consultants' acculturation to agility.
